Medical Receptionist/Billing Clerk

LOCATION: Toronto Rock Athletic Centre, 1132 Invicta Drive, Oakville, ON

POSITION TYPE: Full-time

The Toronto Rock Sports Medicine & Wellness Centre, a newly established state-of-the-art clinic located within the Toronto Rock Athletic Centre (TRAC) in Oakville, Ontario opened its doors in May 2023! The TRAC is the official training facility of the Toronto Rock Lacrosse professional sports team and home to numerous youth & adult sports leagues, programs, and events.

Our multidisciplinary clinic is actively seeking a patient-centered Medical Receptionist/Billing Clerk to join our healthcare team. We are looking for an individual who is highly motivated, passionate about working within a multidisciplinary team, and committed to providing the highest standard of service & care to our entire patient population, which includes high-performance & professional athletes and active people of all ages & abilities.

QUALIFICATIONS:

The Toronto Rock Sports Medicine & Wellness Centre’s Medical Receptionist/Billing Clerk role requires a candidate who possesses the following qualifications & attributes:
• Holds a Medical Receptionist Diploma from an accredited College Program or equivalent education & training
• Past experience & expertise working within a multidisciplinary environment and in the provision of healthcare within a private-clinic setting
• Evidence of experience in leading teams and documented success of fostering a positive & constructive workplace culture
• An individual who consistently upholds professional behaviours & attitudes of a leader in a Centre of Excellence specializing in sports medicine & athlete care

JOB DUTIES:

• Assist with establishing & maintaining the inventory system for clinic supplies, bracing products/sport medicine goods, and other items to be displayed for purchase
• Assist with set up & maintenance of the electronic medical system, including inputting provider’s schedules, tailored templates and fee schedules for specific treatments, as well as scanning documents to health records as required
• Greet patients & visitors at reception desk and respond to inquiries as required
• Schedule client appointments and assist in establishing & maintaining master schedule
• Assist in resolving scheduling conflicts
• Respond independently to inquiries that are specific in nature and require a thorough knowledge of established policies & procedures
• Interact with patients on phone & in-person to answer inquires and ensure they understand the intake procedure, clinic polices/procedures etc.
• Utilize discretion & judgement to screen clients & telephone calls, and notify appropriate personnel as needed
• Write a variety of documents including correspondence, email, and meeting minutes as required
• Complete on-line cashiering processes including cheque payments, cash deposits, and credit card payments
• Process & reconcile third-party service billings
• Assist with establishing & maintaining record keeping, clinic database, and filing systems
• Update and maintain confidential files & records, as well as handling sensitive material in accordance with established policies
• Assist with preparing private treatment rooms & clinic treatment spaces to ensure all materials are stocked, stored, and organized accordingly
• Assist with daily opening & closing procedures of clinic, laundry, cleaning, and other clinical duties as assigned
• Screen referrals received for medical specialists working in clinic; ensure the patient is appropriate to be booked for consultation with specialist and prioritize/triage booking based on established booking policies
• Obtain and accurately document OHIP numbers & version codes for all patients, and record billing codes for patient visits with primary care physicians and specialists
